Auto Transport Documentation Guide
Organized records protect the customer, carrier, and business partners from pickup through payment.
Rate confirmation or transport agreement
This record summarizes the agreed route, vehicle, timing, price, contacts, payment terms, and special instructions. Review every detail before dispatch.
Bill of lading and condition record
At pickup, the bill of lading identifies the shipment and records visible condition. Both parties should review it before the vehicle is loaded and retain a copy.
Photos and proof of delivery
Pickup and delivery photos support the condition record. At destination, the receiver inspects the vehicle and signs proof of delivery, which often supports invoicing and payment.

Keep one file per load
Use a consistent reference number and store every document, message, and payment record together. This makes questions, invoicing, and repeat work easier to manage.
